NexusCW Inc. (“NexusCW,” “we,” “us,” or “our”) operates the NexusCW Portal, a workforce-management platform used by employees, client organizations, and our HR operations team. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information we collect
We collect information needed to provide employer-of-record and workforce services, including:
- Account details such as your name, email address, and mobile phone number.
- Employment and assignment data such as timecards, expenses, time-off requests, pay, and onboarding documents.
- Tax and identity information you submit through onboarding forms (for example W-4, W-9, and I-9), which is encrypted at rest.
- Usage and security data such as sign-in activity and audit records.
How we use information
- To operate the Portal and provide payroll, benefits, onboarding, and compliance services.
- To send you notifications you have enabled — in-app, email, and (if you opt in) SMS.
- To secure your account, prevent fraud, and maintain audit and compliance records.
- To comply with legal and tax obligations.
Mobile information and SMS
If you opt in to text-message alerts, we use your mobile number solely to send the notifications you requested. We do not sell or share your mobile number or SMS opt-in data with third parties or affiliates for their marketing purposes. How we share information
We share information with your client organization and our HR operations team as needed to manage your assignment, and with service providers who help us operate the platform (such as payroll, email, and SMS delivery vendors) under confidentiality obligations. We may disclose information when required by law. We do not sell your personal information.
Data security
We protect your data using industry-standard measures, including encryption of sensitive fields at rest, encrypted transport (HTTPS), role-based access controls, and multi-factor authentication for administrators.
Data retention
We retain information for as long as needed to provide services and to meet legal, tax, and compliance obligations, after which it is deleted or anonymized.
Your choices
You can update your profile and notification preferences in the Portal at any time, including turning email or SMS notifications on or off. To request access to or deletion of your personal information, contact us at the address below.
